When Files Are Too Large
Compress Images
A folder of 20 photos at 3 MB each = 60 MB (too large). Compress each to 200 KB = 4 MB total (fits easily).
Compress PDFs
A 30 MB PDF can often be reduced to 10-20 MB with basic compression.
Create ZIP Archives
ZIP compression helps most with text-heavy files. For already-compressed formats (JPEG, PDF), the ZIP mainly combines files into one attachment.
Split PDFs
A 40 MB PDF can be split into two 20 MB halves, sent as separate emails.
Best Practices
- Compress before attaching — Do not rely on email to compress for you
- Use JPEG, not PNG for photos in emails
- Resize images to display size, not original camera size
- Strip metadata to save extra KB
- Consider cloud links for anything over 10 MB
